Everything Zytfenster can do

The complete list, for anyone who wants the details. Every feature is included in every option, including the free one.

Booking for clients

How it works	Clients choose a service, pick a day and time and enter their details. Three steps on one page, on a phone just as on a computer.
Month view	Days with free times are marked. The page jumps straight to the first free day.
Details	First and last name, email, phone number and message if needed, plus up to three custom questions per service, required or optional.
Confirmation	Straight away on the page and by email, with a calendar file attached and a link for Google Calendar.
Rescheduling and cancelling	On their own, via the link in the email, with no account needed. You set the deadline: any time, or up to 12, 24 or 48 hours before.
Form of address	Informal or formal (du or Sie), for all texts on the booking page and in the emails.
Privacy policy and legal notice	Every booking page has its own privacy policy and a legal notice with your details.

Per service	Photo not needed, optional or required.
Resized	The browser shrinks the photo to a maximum of 1600 pixels before uploading. That saves time on a phone.
No metadata	Location and camera data are stripped out.
Encrypted	Stored encrypted on the server with AES-256. In the admin area, only people who are signed in can see it.
Deleted automatically	7, 14, 30 or 90 days after the appointment, depending on the setting. A photo can also be deleted straight away in the admin area.

Details	Name, description, duration, price and an icon.
Opening hours per service	Each service can have its own times, e.g. first consultations on Mondays only.
Request mode	The time is reserved, and the appointment is only fixed once you confirm it. Declining takes one click.
Online appointments	One video link per service, included in the confirmation and the reminder.
Show and hide	Services can be hidden for a while without deleting them.

Opening hours	Up to three time windows per weekday, for example with a lunch break and evening appointments.
Holidays and absences	Block single days or whole weeks.
Time slots	Start times every 10, 15, 20, 30 or 60 minutes.
Buffer time	5 to 30 minutes before and after each appointment, or none.
Minimum notice	No minimum, or 1, 2 or 4 hours, or 1 or 2 days before.
Booking window	1, 3, 6 or 12 months in advance.
Maximum per day	Unlimited, or 2 to 10 appointments.

Busy times	Connect up to five calendars, e.g. from iCloud, Google or Outlook. Private appointments block time automatically.
Up to date	Zytfenster reads the calendars every 10 minutes and again before every booking. Recurring appointments are recognised.
Separate calendar	Subscribe to all appointments as a “Zytfenster” calendar, in the calendar app on your phone and computer.
What shows in the calendar	Your choice: just “Zytfenster appointment” (“Termin Zytfenster”) with no client details, or name, service, email and phone number.

Overview	Upcoming and past appointments with date, time, service and contact details.
Cancelling	With or without an email to the client.
No-show	Mark the appointment so the overview stays accurate.
Deleting	Delete individual appointments completely.
Export	All appointments as a spreadsheet (CSV), e.g. for Excel or the accounts.

Confirmation	Straight after booking, with a calendar file.
Reminder	For example 24 hours before the appointment, can be switched on and off.
Thank-you after the appointment	A few hours afterwards, with a link to book the next appointment. Can be switched off.
Cancellation	When you cancel an appointment.
Your own wording	Every subject line and text can be edited, with placeholders such as first name, date or the rescheduling link.
Notification for you	An email to you for every new booking, with a calendar file. If you prefer, it leaves out client details: you then see names and answers only in the admin area.

Colour	Your own accent colour. The text adjusts automatically so everything stays readable.
Logo	At the top of the booking page and as the icon in the browser tab.
No Zytfenster credit	Hide the “Booking by zytfenster” (“Terminbuchung mit zytfenster”) credit in the footer, at no extra cost.
Link	The booking page’s own address, for the website, email signature or Instagram.
Button with a pop-up	A button on the website opens the booking in a pop-up over the page.
Embedded form	The booking appears right on a page of the website.
WordPress plugin	Comes with Zytfenster built in: upload, activate, set up. Block for the block editor (Gutenberg), shortcode for Elementor, Bricks, Beaver Builder and Divi. The admin area appears in the WordPress dashboard under “Termine”.

Sign-in without a password	With a link sent by email. There’s no password that could be guessed or turn up in a data leak. Your email inbox is the key.
Several accounts	One installation manages as many accounts as you like, each with its own booking page.
Main admin area	For the person running Zytfenster: create, invite, block and delete accounts.
First steps	A checklist guides you through the setup. Built-in help answers frequently asked questions.

No tracking	No analytics tools, no advertising cookies, no fonts or scripts from third-party servers.
Data minimisation	Only the details needed for the appointment. Clients give explicit consent for them to be stored.
Anonymised	After 12 months, name, email, phone number, message and answers are removed automatically.
Data outside the web folder	The database and photos sit in a folder that can’t be reached from the internet.
Backup	A daily backup of the database, without photos. Older backups are deleted after 14 days.
Protection against misuse	Limited number of bookings and sign-in attempts per hour, a spam trap in the form, a daily limit for emails.

Hosting	Standard shared hosting with PHP 8.3 or newer is enough. There’s no database to set up: Zytfenster uses SQLite.
Setup wizard	Checks the hosting, creates the first account and shows the line for the cron job.
Cron job	Every 10 minutes: read calendars, send reminders, delete photos, anonymise data, create a backup.
Updates	Free, for everyone.
Licence	MIT. You may customise it, use it and pass it on.
